Refund Policy

Policy Statement:

The Windsor Curling Club, a not-for-profit society, relies on membership fees to fund its operations. Recognizing that unforeseen circumstances may prevent members from participating, this policy outlines the conditions for membership fee refunds.

Policy Objectives:

To provide members with a fair and transparent process for obtaining membership fee refunds when necessary.

Policy Directives:

1. Full Refunds: A full refund will be issued if a member requests cancellation before the registration deadline. Yearly registration deadlines are posted on the Club's website.
2. Refund Cut-off: Refund requests submitted after December 31st (or January 31st for Second Half-Year members, January-March) will not be considered.
3. Prorated Refunds: For requests received after the registration deadline but before the cut-off date, a prorated refund will be issued, subject to deduction of any applicable association and/or administration fees. Eligible refunds will be calculated according to the following refund formula:

Refund = ((number of weeks remaining/total weeks in season)*Total Fees paid)-(Association Fees)

4. Non-Refundable Memberships: Memberships purchased under special promotions, discounts, or as one-time fees are not eligible for refunds.
5. Refund Request Procedure: All refund requests must be submitted in writing, preferably via email, to the Membership Director (This email address is being protected from spambots. You need JavaScript enabled to view it.) as soon as the member becomes aware of their inability to participate.
6. Refund Approval: Refund approvals require the authorization of the Membership Director, Treasurer, and President.
7. Proration Date: The date of the written refund request will be used to calculate any prorated refund amount.
8. Refund Processing Time: Approved refunds will be issued within 30 calendar days of the written refund request.
9. Non-Refundable Fees: Association fees, Admin Fee and late fees are non-refundable.
